Sharing a spreadsheet can go wrong: the other person may not have Excel, or you do not want them to change the numbers. A PDF fixes both. Excel to PDF converts XLSX, XLS and CSV files directly in your browser.

Steps

  1. Open Excel to PDF and add your spreadsheet.
  2. Press Convert to PDF.
  3. Download the PDF. Every sheet is included, with its name as a heading.

What you get

The data is drawn as a table with thin borders on landscape A4 pages. Wide tables are fitted to the page width, and long tables continue on the next page. This is perfect for price lists, timetables, attendance sheets and exported data.

What is not carried over

  • Charts and images placed on the sheet.
  • Colours, fonts and special cell formats.
  • Print areas and custom page breaks set in Excel.

When you need these, use Excel's own Save as PDF command, which knows about the full formatting.

Tips for better results

  • Delete empty columns and rows you do not want printed.
  • Split a very large sheet into smaller sheets before converting.
  • Put the most important data on the first sheet.

Finishing the PDF

The table is saved as a picture, so its text is not selectable. Add page numbers for a longer table, merge it with a cover letter and use Compress PDF if it needs to be smaller for email.

Privacy

Spreadsheets often hold salaries, customer lists and accounts. The conversion runs on your device, so the data is not sent to a server.
